- Cycle counts, not an annual shutdown
Receiving, picking and shipping teams kept separate stock records. Reconciling those records delayed the office’s view of available inventory and made discrepancies difficult to trace.
The problem
The warehouse needed a shared count without stopping operations for a full replacement. Staff needed short scanning workflows, and purchasing needed a way to identify items approaching reorder levels.
What we built
A warehouse management system with barcode scanning, inventory updates and bin-level location tracking.
- Receiving: scan purchase orders and items, confirm quantities and assign stock to bins.
- Picking: guided pick lists, scan confirmation and handling for partial picks and exceptions.
- Locations: SKU location history, putaway and replenishment workflows.
- Cycle counts: small counting tasks scheduled during quieter periods, with discrepancies recorded for review.
- Reordering: per-SKU thresholds based on lead time and movement, producing purchase suggestions for the buying team.
Receiving, picking and counting events write to the inventory ledger with the user and timestamp, so changes can be traced to the work that produced them.
How we approached it
The team mapped receiving, picking and shipping workflows before building the data model. Receiving and bin assignment were introduced first and compared with existing records.
Picking and shipping followed, with staff testing the scanning screens during normal work. Cycle counts and reorder suggestions were added before the final cutover.
Delivered system
The warehouse uses one inventory record for scans, locations, picks and replenishment planning.
